Members & roles
Realm has two kinds of "members," and it's worth keeping them straight.
- Workspace members belong to your brokerage or team. They're the agents, brokers, and staff in your org. See Teams.
- Realm members are the people on one transaction — your client, a co-agent, a TC, vendors. They each carry a transaction role that describes what they are on this Realm.
The two are independent. Being a Workspace member doesn't put you on a transaction; being a Realm member doesn't change your standing in the org.
Realm member roles
Inside a Realm, each member has one of these roles:
- Agent — the primary agent running the transaction.
- Co-Agent — a secondary agent sharing the transaction.
- Client — the buyer or seller. This is the person whose consents (like a Buyer Broker Agreement) follow them across every Realm.
- TC — a transaction coordinator helping move the transaction along.
- Assistant — support staff with access to the Realm.
- Vendor — an outside party such as a lender, inspector, or title rep.
- Broker — a broker observing or reviewing the transaction.
A Realm role is not the same as someone's authority in the Workspace. A person can be a regular agent in your org but the Client on a transaction, or a broker in the org who's just an observer on a particular Realm. Roles on a Realm describe that transaction, not the org.
Adding someone to a Realm
- Open the Realm and go to Members.
- Choose Add member.
- Pick the person — an existing contact or org member — or invite a new one by email.
- Set their role (Client, Co-Agent, TC, Vendor, and so on).
- Save. They'll get access scoped to what their role allows.
Clients, vendors & TCs
- Clients are usually added for you when the Realm is created from a lead. The client is the contact who owns the transaction's consents.
- Vendors (lenders, inspectors, title) are added as needed so their documents and messages stay attached to the Realm.
- TCs can be added to help manage documents, dates, and tasks without being the agent of record. A TC on your team can also request missing paperwork from you and hand the finished file off to compliance — see Coordinator handoff.
