A Realm's documents
Open a Realm and go to Documents and you're looking at one transaction's paperwork: a Required Documents checklist plus the files that satisfy it. This is where you gather, fill, sign, and track everything a single transaction needs. For the workspace-wide view across every Realm, see The Documents hub.
The Required Documents checklist
Each row is a requirement — one document the transaction needs. Rows appear based on the transaction's facts (side, financing, property features), so you only see what's actually relevant. Every row carries a status badge that tells you exactly where it stands:
- Missing — nothing there yet.
- Uploaded / In Review — a file is in, possibly awaiting a broker.
- Awaiting Sign / Partly Signed — out for signature.
- Signed / Complete / Approved — done.
- Rejected / Changes — a reviewer sent it back.
- Waived — not needed for this transaction.
A summary near the top counts what's still missing so you can see the gap at a glance.
The missing-requirement flow
A row that's still Missing gives you a few ways to satisfy it, without leaving the checklist:
- Upload — attach a file from your computer. EVE classifies it and drops it onto this row. See Uploading & classifying.
- Auto Forms — instead of uploading, fill one of your brokerage's blank forms. EVE auto-fills it from this Realm and attaches the result here, with the matching template pre-selected. See Forms Library.
- Request the Document — ask someone else (a client, co-agent, or vendor) to provide it, so the row stays tracked while you wait.
- Mark as waiting — when the ball is in the other party's court, flag the row as waiting on them so it reads as in-progress rather than forgotten.
Once a document is on a row, more actions appear:
- Prepare to sign — send an uploaded or filled document through the e-signature flow. See Signing documents.
- Replace — upload a corrected version. It re-runs EVE's mapping and, where compliance applies, goes back to the broker for review. Replacing a document that's already out for signature restarts signing.
Broker and TC tools
At the top of the documents area there are tools that act across the whole checklist:
- Use a form — fill any brokerage template for this Realm.
- Split a combined PDF — carve one scanned packet into the individual documents it contains and drop each onto its requirement. See Splitting a combined PDF.
- Import — bring in existing documents in bulk (for example, from email or another system) and map them to the checklist.
Brokers also have a Documents you provide area for the documents the brokerage supplies on a transaction. A transaction coordinator can request missing paperwork from the agent and deliver the finished file to compliance — see Coordinator handoff.
