Documents overview

Realm keeps documents in two places, and it helps to know which is which.

  • A Realm's documents — the contracts, disclosures, and forms one transaction needs, plus a checklist of what's still required. This is where you work a single transaction's paperwork. See A Realm's documents.
  • The Documents hub — the workspace-wide repository across every Realm and every contact, reached from the main nav. It's where you browse, search, and manage all your files at once, plus the brokerage's blank Form Templates, Referrals, and Home Reports. See The Documents hub.

The checklist (document requirements)

When a Realm is created, its checklist fills with the documents that this side and your brokerage require — things like the purchase contract, agency disclosures, inspection forms, and closing documents. Each checklist item is a requirement, and each shows a status:

  • Missing — nothing uploaded yet.
  • Awaiting Signature — uploaded, still needs a signer.
  • Needs Review — uploaded, waiting on a broker or reviewer.
  • Completed / Approved — done.
  • Waived — not needed for this transaction.

The checklist is conditional: items appear based on the transaction's facts (side, financing, property features), so you only see what's actually relevant.

Where the checklist comes from

The set of required documents comes from a Document pack — a reusable bundle of required docs that's applied to the Realm. Your brokerage can have its own packs, and a Transaction Template can attach one automatically. See Document packs.

Document packs are not Compliance packs. A Document pack is the list of documents a transaction needs. A Compliance pack is the set of broker rules and gates that govern it. They're separate systems — see Compliance packs.

Working with documents

  • Upload a file and EVE classifies it and attaches it to the right checklist item. See Uploading & classifying.
  • Fill a form from the brokerage's library instead of uploading — EVE auto-fills it from the Realm. See Forms Library.
  • Split a combined PDF into individual documents. See Splitting a combined PDF.
  • Send for signature — filled and uploaded documents route through the built-in e-signature flow. See Signing documents.
  • Filter the view — All Documents, by type, by member, or by property — to find what you need.
  • Visibility controls who sees a document: Agent Only, Client Visible, and so on.

A special case: client consents

Some documents — the Buyer Broker Agreement, Listing Agreement, and Agency Disclosure — belong to the client, not the Realm. A buyer signs one BBA that covers every home they view. See Client consents.
