Definition
An AI Activity Record is a brokerage-level ledger of what AI systems did under the brokerage's name. Each entry captures the action, whether an AI or a person performed it, the contact and transaction it concerned, the channel it went out on, and any flags that routed it to a human for review. The record is append-only: entries are never edited or deleted after the fact, and a correction is written as a new entry.
A complete record also states what it rests on. That includes which capture mechanisms are active, which data sources the AI is authorized to use and on what written basis, and what the record deliberately excludes, such as full message content held in separate sealed storage.
Why it matters
MLSs are writing AI terms into their data licenses, and insurance applications increasingly ask how a brokerage uses AI. When the question arrives, the answer depends on whether the record of what the AI actually did exists. A record like this cannot be created retroactively; it either accumulated as the AI worked or it did not.
Supervision also depends on it day to day. A broker responsible for what goes out under the brokerage's name needs one place that answers what was sent, what was held for human judgment, and how each held item resolved, without reading every client message.
